What makes a resume format ATS-friendly

An ATS-friendly resume format is one that software can turn back into text without losing anything: real selectable words, one clear reading order, standard section headings and dates in a consistent format. It is about structure, not about looking plain.

File type

A PDF with real text is fine for most applicant tracking systems, and it keeps your layout intact. The problem is a PDF that is really a picture — a scan, or an export from a design tool that turned text into shapes. If you can’t select a word in your PDF viewer, neither can a parser. If an advert asks for a Word document, send one.

Layout

A single column is the safest layout, because there is only one order to read it in. Two-column layouts can work well, but some older systems read straight across both columns and mix the lines. Do two-column resumes work? goes into that trade-off.

Headings

Use the words a parser expects: Summary or Profile, Experience or Work Experience, Education, Skills, and optionally Certifications, Languages or Projects. Clever names like “My journey” save no space and cost you recognition.

Dates and job titles

• Pick one date format and use it everywhere: “Mar 2021 – Present” or “03/2021 – Present”.
• Give each role its own line for the job title, then the employer, then the dates.
• Write “Present” rather than leaving an end date blank.

Contact details

Put your name, email, phone number and location in the body of the page, near the top. Some parsers skip the page header and footer areas, and contact details placed there can go missing.

What to avoid

• Text inside images, including a name set as a logo.
• Tables and text boxes used for layout.
• Skill bars, stars or dots instead of words.
• Symbols or icons standing in for words (an envelope instead of your email address).
• Very unusual fonts that don’t embed properly in the PDF.

Checklist before you send it

1. 1.Select all the text in the PDF and paste it into a plain text editor.
2. 2.Check every word came through, in a sensible order.
3. 3.Check the headings are standard and the dates follow one format.
4. 4.Check your contact details are in the text, not an image or header.
5. 5.Run it through an ATS score check for the structural items.
